Legal Secretary (VA849)

We are looking for an experienced Legal Secretary to join the Litigation team in our Cayman Islands office. The post holder will be responsible for day-to-day secretarial administration and support to fee earners in the Cayman office, including matter administration, client and court liaison, and assisting with general processes connected with the team's marketing and BD initiatives.

Legal secretarial and administrative duties:

  • Drafting and proof-reading legal documentation and reports, making amendments as necessary
  • Preparing bundles for court hearings
  • Liaising with Court Registry staff in connection with court proceedings
  • Typing correspondence and legal paperwork
  • Responding to internal and external telephone enquiries
  • Maintaining calendars and schedules
  • Managing files and the completion of documents
  • Completing company searches and conflict checks
  • Filing and recordkeeping
  • Creating and formatting presentations and reports as required in accordance with brand guidelines
  • Arranging and assisting with marketing/client events
  • Invoice processing
  • Performing everyday secretarial duties

Other duties and responsibilities:

  • Assisting in the creation of new clients / matters on Document Management system (DMS)
  • Adding partner and fee earner marketing & business development (M&BD) activities to their contacts list
  • Arrange the opening, closing and archiving of accounts and files

The ideal candidates should have:

  • A minimum of three years' secretarial experience in a secretarial role within a litigation department of a law firm undertaking financial services disputes work is essential
  • Experience with the Court's eCuria filing system (or equivalent)
  • Experience with the preparation of bundles and liaising with Court Registry staff in connection with court proceedings
  • Familiarity with legal documentation and terminology
  • Good typing speeds and accuracy are essential
  • Proficiency with MS Office and legal document formatting
  • Strong organisational and time management skills and an ability to meet deadlines in a fast-paced environment
  • ​Experience with electronic document management systems such as iManage, client management systems and Microsoft office applications.  Experience of 3E and Intapp would be advantageous
  • A relevant qualification would be advantageous (e.g. legal secretarial diploma)
