Legal Secretary (VA858)

We are looking for a Legal Secretary to join the Trust and Private Wealth team in our Cayman Islands office. The post holder will be responsible for day-to-day practice administration and support to fee earners in the TPW Team in the Cayman office, including matter administration, billing and revenue control, client and court liaison, and assisting with general processes connected with the team's marketing and BD initiatives

Legal secretarial and administrative duties:

  • Drafting and proof-reading specialist private client documentation including wills, trusts, and probate documents and making amendments as necessary
  • Typing correspondence and managing legal paperwork on behalf of fee-earners, and managing files in the firm's Document Management System
  • Responding to internal and external telephone enquiries, and managing client meetings
  • Managing client onboarding, engagement, and billing through InTapp and 3E 
  • Completing conflict checks and compliance processes
  • Filing and recordkeeping, including maintenance and protection of very sensitive and confidential client data
  • Creating and formatting presentations and reports as required in accordance with brand guidelines
  • Organising travel arrangements, managing team calendars and schedules, and processing expense claims
  • Billing management for the team, including invoice processing, statistical billing analysis for partners, and client liaison regarding debt collection
  • Performing everyday secretarial duties

Other duties and responsibilities:

  • Adding partner and fee earner contacts and ensuring data is up-to-date to include accurate profiling of contacts in the Peppermint system
  • Adding partner and fee earner marketing & business development activities to their contacts list
  • Arrange the opening, closing and archiving of accounts and files
  • Arranging and assisting with marketing/client events, including after hours

The ideal candidates should have:

  • A minimum of 1 year's secretarial experience in a legal environment and familiarity with legal documentation and terminology
  • Good typing speeds, attention to detail and accuracy are essential
  • Exposure to court processes including E-Curia, and corporate portals such as CORIS a strong advantage
  • Proficiency with InTapp, iManage and 3E vital
  • Proficiency with MS Office applications, specifically in word processing and excel
  • Credit control, debt management and collection experience is necessary

The standard working hours for this role are 8.00am – 4.00pm.
