We are looking for a Corporate Administrator to join our Hong Kong Office. The post holder will provide administrative and legal support to partners, lawyers and clients.

The role is responsible for the administration of a portfolio of companies, limited partnerships and other entities of Carey Olsen and its associated businesses, handling legal / regulatory filings and other compliance tasks, maintaining statutory records and handling company secretarial matters.  

Principal duties include:

  • Handle day-to day corporate administration of entities within the portfolio
  • Be responsible for administration and company secretarial matters such as managing incorporation or transfer-in matters, drafting minutes, resolutions, and other statutory filing documents, and ensuring statutory filings are made
  • Liaise with the Registrar, Cayman Islands Monetary Authority and Department of International Tax Compliance in connection with routine administrative matters and applications
  • Liaise with the corporate services teams in the Cayman Islands and BVI offices to ensure timely completion of all applicable tasks
  • Assist the fee earners to ensure completion of all regulatory filings and administration requirements within strict deadlines for the portfolio of entities
  • Generation of registered office / agent bills, payment monitoring and tracking WIP and liaising with clients with respect to the same
  • Maintenance of statutory records and corporate documentation in accordance with internal policies and procedures

The ideal candidate will have:

  • A background in corporate administration services with at least 3 years of relevant experience ideally from a professional firm / CPA firm / law firm
  • Technical knowledge of the applicable statutory laws and other related regulatory requirements
  • Strong IT skills in MS Office (Outlook, Word, Excel and Power Point), (and an ability to learn ViewPoint and Cayman Islands regulatory systems, (CAP, DITC, CORIS and REEFS))
  • Billing experience, ideally in 3E (billing software)
  • Background as a legal executive advantageous
  • A good standard of education
  • Excellent planning and organisation skills and ability to prioritise effectively
  • Good written and verbal communication skills in English and Cantonese
  • Team oriented with a flexible approach to assisting colleagues in a multi-team working environment
