Carey Olsen is looking for a Legal Secretary to join our team on a UK remote-working basis. You will work as part of a team of secretaries, providing high-quality secretarial and administrative support to a group of designated fee earners based in Bermuda, enabling them to focus their time efficiently on client-related work. The role reports to the Senior Secretary.

Key duties and responsibilities include:

Secretarial and administrative support

  • Typing and other word-processing tasks, including PDF editing
  • Amending lengthy and complex legal documents accurately and within required timescales
  • Checking, proofreading and updating documents as necessary
  • Managing filing and correspondence through iManage
  • Supporting telephone and conference-call arrangements
  • Diary management and travel arrangements
  • Checking and processing business-related expense claims
  • Assisting with conflict checks and file-opening procedures
  • Booking meeting rooms and catering when providing Reception cover
  • Monitoring designated fee earners’ inboxes in their absence
  • Assisting with the creation of new clients and matters on the document management system
  • Supporting billing, month-end procedures and other general finance duties

CRM support

  • Adding Partner and fee-earner contacts to Peppermint and ensuring information remains accurate and up to date
  • Recording Partner and fee-earner marketing and business development activities

Team and general support

  • Picking up work from Partners and fee earners through the general secretarial inbox
  • Providing secretarial and team cover when required
  • Assisting with general office duties as necessary

The ideal candidate will have:

  • GCSEs, A Levels or equivalent qualifications
  • Previous experience of some or all of the duties outlined above
  • Proficiency in Microsoft Office applications, including PowerPoint
  • Experience using Elite or an equivalent system would be advantageous
  • Good typing speed and a high level of accuracy
  • Previous experience within a legal environment would be beneficial but is not essential
  • A secretarial or administrative qualification would be advantageous
  • Strong written and verbal communication skills
  • Excellent planning and organisational skills
  • The ability to prioritise effectively and work efficiently under pressure
  • A collaborative and flexible approach to supporting colleagues across multiple teams

Hours of work

The role is based on 35 hours per week, with a 60-minute unpaid lunch break each day. Standard working hours are:

  • Monday to Thursday: 12.00pm to 8.00pm
  • Friday: 11.00am to 7.00pm
